WHO WE WANT:
The Front Office Associate plays an important role in setting the tone for the organization.
As the first and last person clients see when they are in the office, the Front Office Associate is instrumental in making sure clients have a positive experience.
WHAT TO EXPECT:
Serve as primary point of contact for our company.
Greet clients and prospective clients in a friendly and sincere manner, making them feel comfortable when they visit the office.
Coordinate logistics of client meetings including on-boarding, collecting necessary documents and payment.
Maintain calendars for the team, including scheduling meetings, appointments, and travel arrangements.
Exercise discretion in committing time and evaluating needs.
Answer all incoming telephone calls and direct clients to appropriate team member.
Keep the team advised of time-sensitive and priority issues, ensuring appropriate follow- up.
Determine priority of matters of attention for the team; redirect matters to other team members to handle, or attend to matters personally, as appropriate.
Sort and triage mail; maintain e-mail and other address directories.
Coordinate the assembly and mailing of client paperwork.
Order and maintain office supply inventory.
Coordinate with outside vendors for services to be provided such as cleaning services, printing services, and marketing vendors.
Other additional and/or alternative duties as assigned from time to time.
WHAT YOU NEED:
Excellent interpersonal skills.
Bachelor's degree preferred.
Three to five years' prior experience in supporting a senior executive or team.
Excellent computer skills, including proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).
Exceptional writing, editing, and proofreading skills.
Excellent attitude and an extraordinary client service orientation.
Superior phone and email skills--friendly, helpful, and professional in all interactions.
Excellent organizational and time management skills.
Attendance is an essential function.
